SUMMARY: The FEP IT Training Technician (Registrar) is responsible for performing clerical and/or record-keeping tasks using the Learning Management System, Learning Workflow System(s), among others. The employee will handle learner registrations, scheduling of external and internal learning events, sending and receiving invoices for payment and tracking learner attendance. This includes identification of external training sources and their procurement.
Under the general direction of the Manager, FEPOC Training, the incumbent’s accountabilities include, but are not limited to, the following:
Registering learners for all course types. Clerical duties involved in scheduling learners and changes in course or event schedule changes. Receive and direct visitors for learning events. Serve as initial point of contact for internal and external course registration inclusive of learners, clients and vendors. Coordinating on–site training events and classroom set up when needed.
Support the contracting process for learning services. Assist leadership with vendor relationships towards cost efficiencies for the organization, including price negotiations and assuring GSA pricing whenever possible. Submit check requests and expenses for approved learning services. Support learning programs and events with basic financial administration including the processing of invoices and check requests in accordance with established policies. Receiving and sending learner records and invoices.
Maintaining accurate learner records across multiple systems and courses. Maintain both electronic and paper filing systems. Requesting and sending learner records and reports. Completing monthly reports inclusive of attendance and budget reconciliation. Reconciling on-boarding and off-boarding activities to maintain accurate FTE counts.
Complying with established procedures and audit requests.
Provides administrative support to the department through ordering and maintaining all course materials, reserving rooms, registering course participants, and tracking all necessary follow-up required to ensure an efficiently executed training program. Coordinates and prepares all course materials utilized by development and training consultants and all HR counterparts.
Maintaining a curriculum master file. Creating and updating course enrollments for all course types. Compiles, analyzes and interprets all feedback regarding training courses, and integrates this feedback into useful information.
Required: Position requires demonstrated administrative, coordination, teamwork focused, and management skills. 1-3 years of experience as a Project, HR or Training Coordinator in a corporate environment highly desirable. A strong competency using computers is vital in order to prepare and maintain course materials, and set up and maintain databases.
Abilities/ Skills: Position also requires skill in managing multiple functions simultaneously, prioritizing work, and goal setting; Additionally integral to the success of the position are demonstrated interpersonal skills including: the ability for open two-way communication (both verbal and written), discussion facilitation, surfacing needs, problem and conflict resolution and the ability to convey the value of the employees to the organization.
Preferred: Experience with PeopleSoft HCM/LMS, Oracle Financials
