Resp & Qualifications
PURPOSE: Manages and facilitates vendor management activities for strategic vendors that provide services across CareFirst business units and corporate functions. CareFirst will improve the customer experience by reducing customer effort, making information transparent and improving cycle time For strategic vendors, the Enterprise Vendor Manager facilitates performance management (contractual SLAs/OLAs, KPIs), issues management, supports sourcing strategy, and conducts market research. The EVM is responsible for facilitating communication regarding strategic vendors across CareFirst Business Units and Corporate Functions, while also maintaining the role as the primary resource for market and vendor intelligence.
ESSENTIAL DUTIES AND RESPONSIBILITIES Under the general supervision of the Director, Vendor Management, responsibilities may include, but are not limited to the following:
- Actively engage the Business Units and internal stakeholders to ensure frequent communication and alignment on overall CareFirst vendor management strategies and strategic vendor specific strategies.
- Serve as the vendor relationship champion and an expert of the responsible strategic vendor relationships.
- Communicate vendor strategies, associated risks, and value creation effectively to leadership
- Conduct competitive market research and share insights with the broader CareFirst stakeholders during the executive oversight meetings.
- Assist in contract development or negotiations with knowledge of key SLAs/OLAs, KPIs, pricing
- Work with vendors, internal stakeholders within the business units and the Third-Party Risk Management Office (TPRMO) to ensure accurate and timely completion of the Inherent Risk Questionnaire
- Coordinate with cross-functional teams to ensure key contracting elements, including service level agreement components and evaluation process are aligned and included in the draft contract before passing to Legal for review
- Support procurement in preparation and facilitating contract negotiations and oversee the overall contracting process in its entirety, including sharing and storing the final contract
- Manage the due diligence process including sending applicable due diligence assessments to vendor for completion, sending reminders to vendors if assessment deadline isn't met, reviewing vendor's completed due diligence questionnaires and supporting documents for the proposed product/service
- Lead vendor onboarding activities, including, but not limited to, coordinating vendor training, granting system access and ensuring that the vendor is familiar with their main contacts within CareFirst
- Determine and lead appropriate vendor specific ongoing monitoring plan (operational business review meetings, executive oversight meetings, issue management reviews, performance scorecarding, contract management reviews, risk management reviews etc.)
- Lead investigations on all vendor issues by working with relevant internal stakeholders and help the vendor to resolve issues efficiently. Loop in appropriate CareFirst teams if risk profile or contract updates become necessary
- Work closely with the Business Units to align on company-wide vendor management strategies
- Maintain and update blacklist vendors and current vendors on a centralized system based on annual spend, risk, and criticality to the company
- Manage the vendor offboarding process once the Business Owner initiates the termination request. Work with all relevant stakeholders to ensure that the vendor access to CareFirst data and systems are terminated appropriately, vendor list is updated and all stakeholders are informed
- Bachelor’s degree required. In lieu of a Bachelor’s degree, an additional 4 years of relevant experience is required
- 5+ years of experience in vendor management, strategic sourcing, or supply management and procurement in the healthcare industry
- Expert communication and relationship management skills, including ability to partner with, collaborate and influence colleagues and vendors
- Ability to manage vendor relationships, understand vendor profiles, interpret connection of services between Business Units, identify and address legal and business risks
- Possesses a strong understanding and prior working experience in vendor management activities including performance management (SLAs, KPIs etc.), relationship management, contracting and risk management
- Ability to create and maintain strong and seamless working relationships with stakeholders and the ability to be the ‘go-to’ resource for all business and functional areas
- Possesses a thorough knowledge of vendor management best practices and trends, specifically in the healthcare industry
- Demonstrated excellent qualities in verbal and written communication, meeting facilitation, project management, organizational and time management skills
- Strong understanding of healthcare regulatory environment and guidelines, specifically vendor management requirements
- Demonstrated ability to connect with stakeholders across large multi-functional corporate units and build internal relationships required to enable decision making, implement innovative ideas for vendor management, build an understanding of vendor operations and drive cross functional initiatives
- Openness and ability to be the leaders of change management
- Experience in leading company-wide initiatives that involve multiple Business Units
- Experience in conducting industry specific research
- Experience in healthcare industry or other regulated industries
